Hamilton College Assistant Director, Student Accounts in Clinton, New York

Under the direction of the Associate Director of Student Accounts, the Assistant Director will be responsible for the Accounts Receivables and Colleges Loan Receivables process as outlined below. The Assistant Director will serve in this dual capacity in assisting both families and students to ensure that the College’s Loan and Student Accounts Receivables meet best practice guidelines in terms of technology and effectiveness and the service provided meets the College’s standard of excellence.

This is an exempt position with a pay range of $58,459 - $60,000.

Responsibilities

Accounts Receivables

  • Secondary point of contact for answering billing inquiries from parents and students regarding their account

  • Manages the Student Finance Administrator in effective communication strategies

  • Responsible for the communications with parents and students via e-mail, telephone and in person on questions regarding specific charges and account activity. Counsels parents and students regarding payment options including payment plans, financial aid, etc.

  • Processes Outside Scholarships in conjunction with Financial Aid

  • Posting of scholarships to student accounts

  • Sends notification to Financial Aid for packaging

  • Ensures scholarship matches both in Financial Aid and Student Accounts

  • Manages split scholarship amounts from fall and spring

  • Uses independent discretion when determining appropriate action for student account balance resolutions

  • Responsible for the removal of Student Account holds once accounts are cleared

  • Make necessary adjustments to accounts as requested by families to student accounts (e.g. Payment Plans)

  • Proactively reaches out Payment Plan families to ensure that families are neither under or over contracted for semester balance due

  • Co-Responsible for the oversight and cadence of strategic office communications to reduce delinquent accounts

  • Cash receipt entry for mailed student payments and deposit to the bank using the remote check scanner

  • Log on to view banking activity. If international wire posted, record via cash receipt to the general ledger

  • Record international wires received from payment providers

  • Monthly, arrange with collection agent(s) any accounts that need to be sent to collections including College Loans and inactive Student Account balances

  • Prepare associated Journal Entries for Student Account deposits

  • Assist with any year end audit process and reconciliations as needed

    Cashiering

  • Manage general cashiering deposits and ensure timely and accurate deposits to NBT

  • Assists with the administration of cash held in the Business Office safe and petty cash reimbursements

  • Responsible for the reconciling of petty cash, and periodically audits departments with petty cash

  • Other related duties as assigned

    Loan Receivables

  • Monitor all institutional student loan accounts and post associated journal entries monthly

  • Post alternative/private loans to student accounts. Funds should be verified that they match the online loan portals to bank disbursements.

  • Ensure electronic entrance and exit interviews for College Loans are completed

  • Issue Federal loan disbursement letters in conjunction with Student Finance Administrator

  • Work closely with collections agency and our loan party servicing agent(s)

  • Generate College loans so the students can access their loan information after disbursement. Enter information online to loan servicer (e.g., deferments, payment information (if a payment comes directly to Hamilton), loan advances and new loans, address changes, monthly payment agreements, cancellations and postponements, etc.)

  • Approve student and hardship deferments on loans. Send renewal letters for hardship deferments to borrowers

  • Keep informed of any regulatory updates and changes, develop the necessary changes to the college documentation

  • At year end, make final list of loans signed for the academic year in conjunction with the fiscal year financial and A-133 audit

  • Prepare journal entries monthly associated with bank deposit for payments received for College issued loans. Ensure that accounts are reconciled on a monthly/quarterly basis for active College loans.

    Cross Training and Backup

  • This position will be cross trained in the following areas for backup to Student Accounts Associate Director

  • 1098-T Production and W-9S Form Collection

  • Monthly Billing Statement Production

  • Departmental Charges

  • Withdrawal process and Dewar’s Tuition Insurance Calculations

Bachelor’s degree in a business-related or related field plus two or more years of relevant experience. Equivalent combination of education and experience may be considered.

Knowledge, Skills and Abilities

  • Proficiency in the use of desktop software and spreadsheet applications.

  • Candidate should be detail oriented, with the ability to multi-task, possess a strong customer service orientation, the ability to communicate effectively both orally and in writing with all campus constituencies, and the willingness to work as part of a team.

  • Candidate must be, quality-driven and of maintain a high degree of data integrity and confidentiality. Candidate must have the ability to plan, organize, and implement assigned responsibilities and to work well under pressure to meet established deadlines and possess exceptional problem-solving skills
