Job Description
This position will provide intermediate level post-award administrative support for sponsored activities in CHER, and will also provide day-to-day finance related administrative support for the department and the Assistant Director. The incumbent will support the Assistant Director and the Grant & Project Support Manager in tracking expenditures; initiate fund transfers as directed; support tracking and invoicing of subaward contracts; provide custom invoicing backup documentation for subrecipient invoicing; interface with the NAU finance service team for travel, purchasing, and other transactions; act as point of contact for monitoring incentive card purchases and collecting disbursement logs, and maintaining control of departmental cards to be re-distributed as needed.
Financial Oversight - 40%
- Receiving, tracking and payment of invoices on subaward contracts, including working with subrecipients on corrections as needed, establishing purchase orders, processing payment requests, purchase order close-outs, and monitoring of subaward balances.
- Receiving, tracking, and payment of invoices on consultant contracts.
- Point of contact for purchasing incentive cards and TANGO incentives.
- Maintain control of departmental cards for redistribution, managing the fund transfer process for cards that are redistributed, and working with research staff on logs and disbursement.
Fiscal Administrative Support - 40%
- Initiation of fund transfers (IDT, IST, IPT) and funding changes at the direction of the Grant and Project Support Manager, Senior Financial Oversight Analyst, and Assistant Director.
- Support consultant, speaker, and non-employee travel claims associated with CHER and CHER sponsored projects, including working directly with our community partners to ensure this is done correctly.
- Maintain a departmental purchasing card and associated reconciliation processes.
- Responsible for departmental purchasing and travel support; copier invoicing and charge backs; interface with Facility Services, ITS, Finance and HR Service Teams.
General Departmental Support - 15%
- Oversee process of hiring hourly student workers from start to finish, including working with supervisors to create job descriptions that support correct pay level; supporting the Handshake process; and onboarding.
- Oversee process of hiring hourly, part-time employees, including working with supervisors to create job descriptions and appropriate hourly pay rates; and onboarding.
- Monitor the CHER email and the CHER Small Meeting Room schedule.
Other - 5%
- Other duties as assigned.
Minimum Qualifications
- Associate\'s or Bachelor\'s degree in accounting, finance, or related field.
- 2-4 years of accounting or finance experience.
- A combination of rela ed education, experience and training may be used as an equivalent to the above Minimum Requirements.
Preferred Qualifications
- Experience in grant or sponsored project management in an institution of higher education.
- Understanding/experience working with Native Nations.
Knowledge, Skills, & Abilities
Knowledge
- Working knowledge of financial oversight and operations tools, procedures, processes, policies, and concepts such as payroll management systems and budget analysis projects such as expense tracking.
- Knowledge of financial reporting in higher education, university budgeting practices, and sponsored project reporting requirements.
Skills
- High proficiency in Microsoft Office Suite, especially Word and Excel.
- Familiarity with presentation of financial information and data.
