The Opportunity

We are seeking a Client Accounting Client Intake Coordinator to join our Firm. In this position, you will be responsible for working with the Client Accounting team to perform initial screening and analysis of New Client/New Matter requests and ensure that the request is complete, accurate, and complies with both Firm and client guidelines. Additionally, you will communicate directly with partners and partner secretaries, when opening a new client or matter, while coordinating with the Client Accounting team. This position will be based in our New York office and has a hybrid in-office/remote working schedule. Please note that the Firm will not sponsor applicants for work visas for this position.

Essential Functions:

  • Communicates situations as they evolve that may require supervisor follow-up such as special situations needing management input, difficulty fulfilling attorney requests, or workload situations that may jeopardize meeting department service guidelines and/or partner guidelines. When possible, offers solution options for various situations.
  • Screens New Client/New Matter requests for missing/inaccurate information, additional client requirements, and compliance with Firm's requirements for new clients and matters.
  • Communicates directly with partners and partner secretaries to obtain missing information, clarification of existing information, and other required data prior to opening new client or matter.
  • Provides guidance and assistance to partners regarding the most appropriate course of action with respect to new clients and new matters.
  • Provides relevant knowledge and support to others in the Firm in a manner that increases the level of understanding of Client Accounting processes (including the ability to formulate strong work team relationships with both the partners and their secretaries).
  • Understands and responds to inquiries and requests made by attorneys, secretaries, legal assistants and staff and demonstrates this understanding through the use of effective communication.
  • Coordinates with members of Client Intake team to ensure that clients and matters are set up correctly in Aderant.
  • Coordinates with and assists Client Intake team to ensure day-to-day requests are completed in a timely and efficient manner.
  • Actively seeks to enhance knowledge of all Client Accounting procedures and processes.
  • Updates and maintains information for client/matter policies and procedures.
  • Demonstrates effective interpersonal, written and verbal communication skills to facilitate effective work relationships with others.
  • Manages Firm resources responsibly.
  • Complies with and understands Firm operation, policies and procedures.
  • Performs other related duties as assigned.

Qualifications

  • Knowledge of relevant firm computer software programs (e.g., Outlook, Excel), with the ability to learn new software and operating systems
  • Ability to work and develop skills independently
  • Is knowledgeable of all aspects of client/matter intake process
  • Demonstrates effective interpersonal and communication skills, both verbally and in writing
  • Demonstrates close attention to detail
  • Ability to meet deadlines
  • Ability to handle multiple projects and shifting priorities
  • Ability to handle sensitive matters and maintain confidentiality
  • Ability to organize and prioritize work
  • Ability to work well in a demanding and fast-paced environment
  • Ability to work well independently as well as effectively within a team
  • Flexibility to adjust hours and work the hours necessary to meet operating and business needs

Experience/Education

  • Bachelor's Degree
  • Minimum one year law firm or professional services organization work experience

The starting base salary for this position is expected to be within the range listed under Salary Details. Actual salary will be determined based on skills, experience (to the extent relevant) and other-job related factors, consistent with applicable law.

Salary Details

$70,000 - $75,000
