Executive Assistant, Government Relations and Advocacy
The Executive Assistant in the Office of Government Relations and Advocacy (GR&A) will primarily assist the Vice Chancellor for Governmental Relations and Advocacy, as well as staff members of Commonwealth Relations and Federal Relations. This support includes scheduling and managing calendars, staffing committees, providing advanced administrative support for key initiatives, managing travel and expenditures, and ensuring effective support for key governmental tasks and events.
At the Commonwealth level, the Executive Assistant will assist in maintaining and enhancing relationships with members of the General Assembly and in particular their staff, Commonwealth government agencies, as well as administrators of relevant outside organizations. At the Federal level, the Executive Assistant will assist in maintaining and enhancing relationships with members of Congress and in particular their staff, federal government agencies, national educational associations, as well as administrators of relevant outside organizations. The Executive Assistant also researches and tracks federal legislation and Federal Register for matters which could affect University initiatives and works with University administrators and departments to respond to correspondences and inquiries, resolve issues, and maintain and enhance the relationship with all Government entities. Responsibilities also include assisting with other departmental administrative duties as needed.
Job Summary
Serves as the primary support to executive level roles and/or departments and acts as liaison and ensures confidentiality of high-level, sensitive information. Manages office workflow. Assists with strategic planning processes and administrative goals and priorities. Prepares budgetary functions and plans special events.
Essential Functions
The Executive Assistant must be able to work independently and take initiative as needed. Knowledge of University policies and systems is highly recommended. The incumbent must also have thorough knowledge and understanding of policies and procedures, state and federal lobby disclosures, and generally accepted principles.
Physical Effort
Duties are primarily sedentary. Must be able to use a computer at a desk or similar workstation, and travel to on-campus meetings as needed.
