About the position:
We are seeking an Administrative Assistant to work onsite at the Toyota Material Handling of North America Development Center in Rochester, New York. The Administrative Assistant will perform a variety of diverse and confidential clerical and administrative duties in support of the Chief Energy Engineer and TMHNA Development Center. In this role, you will:
Serve as the Administrative Assistant to the Chief Engineer and Development Center to enable effective prioritization, time management and execution of duties.
Perform work under limited guidance where you will handle complex tasks.
Provide excellent customer service while managing internal and external stakeholders over the phone and in person.
- Schedule and confirm appointments, arrange meetings and rooms, and coordinate travel arrangements.
- Handle special administrative projects such as business proposals, weekly reports, and preparation and maintenance of department budgets.
- Develop and prepare visual aids such presentations, charts, and graphs for presentation at high-level meetings that often involve outside companies.
- Compose both routine and complex correspondence and reports for the department.
- Process department paperwork and obtain appropriate approvals in a timely manner.
- Handle sensitive information professionally with respect to confidentiality.
- Takes notes and action items for offsite meetings; distributes and follows up with owners.
- Resolve routine inquiries and concerns.
- Establish and maintain a variety of files and records.
- Arrange catering for onsite and offsite meetings.
- Order and maintains stock of office supplies.
About the schedule:
This position is Monday – Friday working 1st shift.
About the work environment:
This role is fully onsite in Rochester, New York.
About you:
- 4+ years of related Administrative Assistant experience.
- Strong business acumen, organization, relationship building, problem solving, analytical, and project management skills.
- High regard for ethics, integrity, and confidentiality.
- Effectively communicates across multiple levels from associate to executive.
- Understanding office technology and software. Must be proficient in Microsoft Office Suite.
- Ability to multitask and prioritize to meet deadlines.
- Interested in working fully onsite in Rochester, NY.
It would be great if you had:
- An Associate’s Degree.
- Experience with Ariba or other invoice systems is preferred.
- Experience working with Concur or other travel booking/expense reporting systems is preferred.
About the total compensation package:
Wage - $21.38 - $27.37 per hour. Compensation depends on the selected candidate’s education and experience.
