What You'll Contribute

The Executive, Administrative Assistant will ensure smooth and efficient day-to-day operations. The ideal candidate will be responsible for managing the administrative functions of the organization, implementing and improving administrative policies and procedures, and providing administrative support to department heads. The Executive, Administrative Assistant will work closely with senior management to ensure all administrative tasks are completed accurately and efficiently.

What You'll Do

  • Manage and oversee the administrative support team, including hiring, training, and performance management.

  • Develop and implement administrative policies and procedures to ensure efficient and effective operations.

  • Provide administrative support to department heads, including scheduling meetings, managing calendars, and coordinating travel arrangements.

  • Collaborate with senior management to ensure administrative tasks are completed accurately and efficiently.

  • Manage and maintain electronic and physical records and files, including confidential information.

  • Oversee the management of office supplies, equipment, and facilities.

  • Develop and maintain strong working relationships with internal and external stakeholders.

  • Monitor and report on the team's performance and identify areas for improvement.

  • Provide leadership and guidance to the administrative support team to ensure excellent customer service is provided to all internal and external stakeholders.

  • Ensure compliance with company policies, procedures, and regulatory requirements.

What you have

Minimum education, skills and experience required.

  • Excellent organizational, planning, and time management skills.

  • Strong communication and interpersonal skills, with the ability to build relationships with stakeholders at all levels.

  • Demonstrated ability to manage a team and prioritize tasks in a fast-paced environment.

  • Experience developing and implementing administrative policies and procedures.

  • Knowledge of office software and equipment, including Microsoft Office Suite and office management software.

  • Strong problem-solving and decision-making skills.

  • Ability to maintain confidentiality and handle sensitive information.

  • Ability to work independently and as part of a team.

  • Willingness to work flexible hours as needed.

Preferred education, skills, and experience.

  • Bachelor's degree in Business Administration, Management, or a related field.

  • Minimum of 5 years of experience in administrative support, with at least 2 years in a managerial or supervisory role.
