Description

We are seeking an Executive Assistant for a local non-profit organization. In this position, you will provide high-level administrative support to our executive team, enabling them to focus on strategic objectives and organizational goals. You will be a pivotal member of our team, ensuring smooth communication, effective coordination, and efficient operations. Free parking on site!

Requirements

  • Administrative Support:

  • Manage executives' calendars, scheduling meetings, appointments, and travel arrangements.

  • Prepare and organize documents, reports, and presentations for executive meetings and events.

  • Handle correspondence, emails, and phone calls, prioritizing and responding as necessary.

  • Communication Liaison:

  • Serve as a primary point of contact between executives and internal/external stakeholders.

  • Coordinate communication between different departments, ensuring timely dissemination of information and follow-up on action items.

  • Project Coordination:

  • Assist in coordinating and tracking projects, deadlines, and deliverables across various departments.

  • Conduct research, gather data, and compile reports to support decision-making processes.

  • Event Management:

  • Support in planning and organizing events, meetings, and conferences, including logistics, venue booking, catering, and attendee management.

  • Database and Records Management:

  • Maintain accurate and up-to-date records, databases, and filing systems.

  • Ensure confidentiality and security of sensitive information.

  • Team Support:

  • Collaborate with other administrative staff to ensure smooth office operations.

  • Provide support to other team members and departments as needed.

Qualifications:

  • Proven experience as an executive assistant or similar role, preferably within a non-profit organization.

  • Excellent organizational and time-management skills, with the ability to prioritize tasks and multitask effectively.

  • Strong communication skills, both written and verbal, with the ability to interact professionally with diverse stakeholders.

  • Proficiency in MS Office suite and other relevant software applications.

  • Attention to detail and a high level of accuracy in all work.

  • Discretion and confidentiality in handling sensitive information.

  • Ability to work independently and as part of a team in a fast-paced environment.

  • Bachelor's degree or equivalent experience preferred.
