Job Description

The Program Coordinator II, under general supervision, works collaboratively with leadership to plan, develop and implement programs.Responsibilities:Program management: Familiarity with regulations and requirements of funding entities, understand legal and financial aspects of grant management, and ability to interpret and apply funders' guidelines accurately.

  • Project management skills include planning, executing, and overseeing a project from start to finish to achieve specific goals and objectives within a defined scope, time and budget.

  • Project tasks may include defining project goals, planning tasks and resources, managing timelines, budgets, risks, and ensuring successful project completion.

  • Familiarity or willingness to learn about university-related post-award processes such as IRB tasks, coordinating logistics for on-or off-campus events, assisting with project evaluating / data collection, and co-writing research manuscripts and program reports.

  • Knowledge or willingness to learn project management tools such as Bizagi, Lucidchart, Signavio, Microsoft Visio, draw.io, or Createl.

  • Prior skills and use of these tools are preferred: Microsoft Project, Asana, Trello, Jira, Wrike, Basecamp, Clickup, or Teamwork.

Faculty Travel

  • Support faculty with study abroad applications and pre-travel needs.

  • Assist faculty with pre-travel requests for domestic and international travel.

Personnel

  • Adjunct faculty hiring and credentialing.

  • Support search advisory teams for faculty and staff hires.

  • Manage alternative work location requests and international work location requests.

  • Manage annual faculty, staff, and student performance reviews in Workday.

Organizational management: Proficiency in managing multiple tasks and deadlines, meticulous record-keeping, efficient time management, and the ability to coordinate various grant administration tasks simultaneously.

  • Adaptability in working with a broad range of faculty interests / research areas.

  • Excellent attention to detail.

  • Working knowledge and / or expertise with Microsoft Office Suites, SharePoint, and Teams.

Communications skills: Clear and effective verbal and written communication, strong interpersonal skills for interacting with stakeholders, and adept in teamwork situations.

  • Provide timely communications with grant team and department head.

  • Demonstrate problem-solving and decision-making skills.

  • Initiative, strong work ethic, and positive attitude.

Other duties as assigned

Required Education and Experience:

  • Bachelor's degree or equivalent

  • Four years of related experience

Required Knowledge, Skills, and Abilities:

  • Knowledge of word processing, spreadsheet, and database applications.

  • Ability to multitask and work cooperatively with others.

  • Verbal and written communication skills
